# Activity log

> See who in the organization used which tool in which system, and when. Administrators only. The content of the calls is not stored.

*[Læs siden på dansk](https://docs.consile.ai/portal/aktivitet.md)*

The **Activity** tab under [Team](https://docs.consile.ai/en/portal/team.md) shows every tool call your AI
assistants and AI bots have made in your systems. You see who used which tool, in
which system, when, and how it went. The portal says:

*The log shows who used which tool and when. What the calls contained is not
stored.*

> [!NOTE]
>
> Only administrators can use Activity. The log names colleagues. If a member
> opens the tab, it says *Only administrators can change the team - contact your
> administrator.*

You find the log under **Team** in the menu at the top of the portal. Choose
**Activity** (*Who used what, and when*), or choose the **Activity** tab on one of
the Team pages.

## What the log stores

For each call the log stores:

* the time
* the person who used the tool, or the AI bot that did
* the system and the agreement. An agreement is one connection to a system
* the tool
* the outcome: **Completed**, **Refused** or **Failed**, and for a refusal or an
  error, the reason
* how long the call took

Calls through your [own connectors](https://docs.consile.ai/en/studio/own-connectors.md) in Studio and from
[AI bots](https://docs.consile.ai/en/studio/ai-bots.md) are included too. So are calls that Consile refuses
and calls that fail.

The log does not store the content of the calls. The portal puts it like this:

*The log keeps who, what and when. Neither what the AI assistant asked for nor
what the system answered is stored anywhere.*

Calls to [Concierge](https://docs.consile.ai/en/concierge.md) and to the tool that creates a link for
connecting a system are not in the log. Nor is it logged when the AI assistant
just fetches the list of tools.

## Overview of the period

At the top are four numbers for the selected period:

| Number | Means |
| - | - |
| **Calls** | All calls in the period. Below the number it says how many made them, for example *3 users and bots*. |
| **Completed** | Calls that went through. |
| **Refused** | Calls that Consile refused, for example because the person does not have access to the tool. |
| **Failed** | Calls that failed, for example because the system is not connected. |

Below the numbers, two lists show the five **Most active people** and the five
**Most used systems** with their number of calls. The numbers and the lists cover
the whole period. The other filters only change the table.

## Filters

* **Period:** **7 days**, **30 days** or **90 days**. The log opens with 7 days selected.
* **System:** **All systems** or one of the systems used in the period.
* **Person:** **Everyone** or one person on the team.
* **Search tools:** part of the tool's technical name, for example `invoice`.
* **Outcome:** **All**, **Completed**, **Refused** or **Failed**.

If no calls match, it says *No calls in this period* and *Try a longer period, or
clear the filters.* If you have chosen filters, you can click **Clear filters** to
start over.

## The table of calls

The **Calls** table shows the newest calls first. Above the table it says, for
example, *Showing 50 of 312 calls in this period.* Click **Show more** to load 50
more.

| Column | Content |
| - | - |
| **Time** | For example *Today at 09:15* or *Yesterday at 14:02*. Older calls show the date. |
| **Person** | Name or email. It says *Bot* for an AI bot and *Former user* for a person who is no longer on the team. |
| **System** | The system's name. An extra agreement shows as, for example, *e-conomic (portal 2)*. |
| **Tool** | The tool's name. |
| **Outcome** | **Completed**, **Refused** or **Failed**, and the reason if the call did not go through. |
| **Duration** | For example *240 ms* or *1.4 s*. |

### Reasons in the table

| Reason | What it means |
| - | - |
| *not purchased* | The organization does not have the system. |
| *no seat* | The person has not been given access to the system under [Team](https://docs.consile.ai/en/portal/team.md). |
| *outside the access level* | The tool is not switched on for the person. |
| *awaiting approval* | The tool requires approval, and the call is waiting for an administrator. See [Approvals](https://docs.consile.ai/en/portal/approvals.md). |
| *approval refused* | An administrator has refused the call. |
| *too many pending* | The person already has the maximum number of calls waiting for approval. |
| *usage limit reached* | The organization has used the calls its plan gives, for example the 100 calls in [the free edition](https://docs.consile.ai/en/portal/free-edition.md). |
| *company lock* | The call did not match the company the connection is locked to, or the company must be chosen again. See [Company lock](https://docs.consile.ai/en/portal/company-lock.md). |
| *not connected* | The system or the agreement is not connected. |
| *unknown tool* | The tool does not exist in the system. |
| *unknown system* | The system does not exist. |

If the portal has no word for the reason, the technical code shows instead.

## Download as CSV

Click **Download as CSV** to save the file `consile-aktivitet.csv`. Afterwards the
button says **Download again**.

* The file contains the calls the table shows right now, with the filters you have
chosen. If you have clicked **Show more**, the extra calls are included. So the
file is not the whole period, only what has been loaded on screen.
* The columns are **Time**, **Person**, **System**, **Tool**, **Tool name**,
**Outcome**, **Reason code** and **Duration (ms)**.
* **Time** is in UTC, for example `2026-10-26T08:15:00.000Z`. **Tool name** and
**Reason code** are the technical names that support can use.
* The fields are separated by semicolons, so the file can be opened directly in a
  spreadsheet.

## How long is the log kept?

* Each call is kept for 90 days and then deleted automatically.
* Nobody can edit or delete a call in the log.
* If you remove a colleague from the team, their calls stay. The person then shows
  as *Former user*.
* The log is included in your data export, and it is deleted if the account is
  deleted. See [Account & data](https://docs.consile.ai/en/portal/account-and-data.md).

An AI bot also has its own log on the bot's page. See
[Bot activity](https://docs.consile.ai/en/studio/ai-bots.md#bot-activity).
