# SharePoint

> Read access to SharePoint and OneDrive for your AI: sites, document libraries, folders, file search, file content, versions, shared files and SharePoint lists. 17 read-only tools with Microsoft's own read permissions.

*[Læs siden på dansk](https://docs.consile.ai/connectors/sharepoint.md)*

The SharePoint connector gives your AI read-only access to Microsoft SharePoint and
OneDrive. Your AI can find your sites and document libraries, browse folders, search
files by name and content, read the content of a file, see version history and who
last changed what, and look things up in SharePoint lists with their columns and
rows. You connect with a Microsoft work account, and your AI never sees the access
itself.

* **Price:** 299 DKK/month excl. VAT (€39/month if you have chosen the EU · EUR
market in the portal). No lock-in, cancel at any time. The price covers 1 user and
1 agreement (one connection to your Microsoft 365 organization). Each extra user
and each extra agreement costs 149.50 DKK/month excl. VAT (€19.50). Also included
in [the Consile Studio membership](https://docs.consile.ai/en/portal/membership.md) and
  [the free edition](https://docs.consile.ai/en/portal/free-edition.md). See [Pricing](https://docs.consile.ai/en/portal/pricing.md).
* **Users:** whoever buys SharePoint automatically gets the included access. If more
colleagues need SharePoint in their AI, an administrator gives them access under
**Team** in the portal (choose **All tools** next to SharePoint on the person's
page). An extra user is billed pro rata from the day access is given. A colleague
without access can still see the tools in their AI, but every lookup is refused
with a message to ask an administrator for access. If you have
[the Consile Studio membership](https://docs.consile.ai/en/portal/membership.md), an administrator instead
gives one membership licence per person, and it also covers SharePoint. See
  [Team](https://docs.consile.ai/en/portal/team.md).
* **Multiple Microsoft 365 organizations:** the portal calls each connection to the
system an agreement. One agreement covers everything in your Microsoft 365
organization that the connected user has access to. If you have several
organizations at Microsoft (several tenants), an administrator clicks **Add
agreement** on the **Connections** card on the connector's page in the portal.
Each agreement gets its own address, for example
`https://mcp.consile.ai/sharepoint-2/mcp`, which you add as a separate connector
  in your AI. Under
  [the Consile Studio membership](https://docs.consile.ai/en/portal/membership.md#one-more-agreement-in-a-system)
and [the free edition](https://docs.consile.ai/en/portal/free-edition.md), other rules apply to extra
  agreements. See
  [Connect SharePoint](https://docs.consile.ai/en/connect/connect-sharepoint.md#multiple-microsoft-365-organizations).
* **Endpoint:** `https://mcp.consile.ai/sharepoint/mcp` (your own named connector in
  your AI).

## What does it require?

* **SharePoint and OneDrive in Microsoft 365.** The connector reads from Microsoft's
cloud edition. SharePoint Server (on-premises) is not supported.
* **A Microsoft work or school account.** You log in with an account in your
organization at Microsoft. A personal Microsoft account (and so a personal
  OneDrive) cannot be used.
* **The right Microsoft user.** Your AI only sees the sites, files and lists that the
connected user can see in SharePoint and OneDrive. See
[The connected user decides what your AI sees](#the-connected-user-decides-what-your-ai-sees) below.
* **Possibly a Microsoft administrator.** In many organizations, an administrator at
Microsoft must approve Consile before the connection can be completed. See
  [Connect SharePoint](https://docs.consile.ai/en/connect/connect-sharepoint.md#if-microsoft-asks-for-administrator-approval).

## Prerequisites

**1. Subscription**

The connector must be bought in the [portal](https://app.consile.ai). See
[Buy a connector](https://docs.consile.ai/en/portal/buy-a-connector.md).

**2. Microsoft approved**

Log in with your Microsoft work account, and approve Consile at Microsoft. The
connection applies to your whole Consile account. See
[Connect SharePoint](https://docs.consile.ai/en/connect/connect-sharepoint.md).

**3. Access for your user**

If there are several users on the account, an administrator must assign you
SharePoint under **Team** in the portal. Whoever bought the connector has access
from the start. If you have created your own Consile account, but belong to a
company that already has SharePoint, ask your administrator for an invitation to
the team instead of buying again. See [Team](https://docs.consile.ai/en/portal/team.md).

**4. Your AI connected**

Each user adds the connector in their own AI and logs in with their own Consile
login. See [Connect Claude](https://docs.consile.ai/en/connect/connect-claude.md) or
[Connect ChatGPT](https://docs.consile.ai/en/connect/connect-chatgpt.md).

## Read-only

When you connect, you approve two of Microsoft's read permissions plus
`offline_access`, which keeps the connection alive:

* `Sites.Read.All`: read SharePoint sites and lists.
* `Files.Read.All`: read files in the drives the user has access to, including
  OneDrive.

Both are pure read permissions. The access therefore cannot be used to create,
change or delete anything, not even outside Consile. In addition:

* The connector has no write tools. All 17 tools can only read.
* Consile only sends read requests to Microsoft.
* If Microsoft's approval contains access to services other than Microsoft Graph
(Microsoft's shared access to Microsoft 365 data), the connection is refused.

The content of your files goes straight on to your AI and is not stored at Consile.

## The connected user decides what your AI sees

The connection applies to your whole Consile account. All colleagues with access to
SharePoint in Consile read through the one Microsoft user that is connected. This
means:

* Your AI sees the sites, libraries, files and lists that the connected user can
see, and nothing else. If the user lacks access to a site, your AI cannot read it
  either.
* "My OneDrive" is the connected user's OneDrive. The same goes for
`list_recent_files` (recently used files) and `list_shared_with_me` (files shared
with the user). If a colleague asks about "my files", the colleague gets the
  connected user's files.

So choose a Microsoft user whose access fits what everyone with SharePoint in
Consile may see. If you connect with your own account, your colleagues can read
your OneDrive through their AI.

## What can it do? (tools)

You do not need to know the tool names. You ask in natural language, and your AI
picks the right one itself. The connector has 17 read-only tools. When your AI calls
them, they are called `sharepoint__<tool>` (for example
`sharepoint__search_drive_items`).

### Sites

| Tool | What it does |
| - | - |
| `search_sites` | Finds SharePoint sites by name or keyword. Without search text, it shows every site the user can see |
| `get_site` | One site from its id or a link you pasted. `root` gives the organization's root site |
| `list_followed_sites` | The sites the user follows. Often the quickest place to start when you write "the intranet" or "the project site" |
| `list_subsites` | Subsites directly under a site |

### Files and folders

| Tool | What it does |
| - | - |
| `list_site_drives` | The document libraries on a site. Most sites have one, called Documents |
| `get_my_drive` | The connected user's OneDrive with owner and storage quota |
| `list_drive_items` | Files and folders in a folder with type, size, last change and who made it |
| `get_drive_item` | One file or folder: name, size, file type, link, folder, created and changed by whom |
| `search_drive_items` | Searches for files and folders by name and content in a drive, including subfolders |
| `download_file` | Reads a file's content. Text files as text, other files encoded. At most 5 MB |
| `list_recent_files` | The files the user recently opened or edited, in OneDrive and on SharePoint |
| `list_shared_with_me` | Files and folders others have shared with the user, and who shared them |
| `list_item_versions` | The version history of a file: when each version was saved and by whom |

### Lists

| Tool | What it does |
| - | - |
| `list_site_lists` | The SharePoint lists on a site, for example tasks, contacts and registers. Hidden system lists are filtered out |
| `get_list` | One list with its columns: name, type, whether it is required, and the choices in a choice column |
| `list_list_items` | The rows in a list with column values, optionally filtered on a column and limited to selected columns |
| `get_list_item` | One row in a list with all column values |

Without a drive id, the file tools use the connected user's OneDrive. To read a
document library on a site, your AI first finds the site and then the library with
`list_site_drives`. A file can be given by its id or its path, for example
`Reports/Q3.docx`.

## Try asking

> [accordion] Find documents
>
> > *"Find the latest version of our onboarding guide on the intranet, and summarize the key changes."*
>
> > *"Which files have I worked on in the last week?"*

> [accordion] Folders and versions
>
> > *"Which documents in the project folder for \<company name> changed this week, and who changed them?"*
>
> > *"Show the version history of the contract template. Who saved it last?"*

> [accordion] SharePoint lists
>
> > *"Look up the Suppliers list on the Procurement site: who has the status Awaiting contract?"*
>
> > *"Which columns does the Cases list have, and how many cases are open?"*

> [!TIP]
>
> Mention the site or folder if you know it, and feel free to paste a link to the
> site. Then your AI finds its way faster. For Excel sheets, the
> [Excel connector](https://docs.consile.ai/en/connectors/excel.md) is better, because it reads sheets and
> tables as rows.

## Limitations

* **Read-only:** the connector cannot create, change, move, share or delete files,
  folders or list rows.
* **Only Microsoft 365 and work accounts:** SharePoint Server (on-premises) and
personal Microsoft accounts are not supported.
* **The connected user's access applies:** your AI only sees what the connected
Microsoft user can see. If the user lacks access, or your Microsoft administrator
has not approved the permission, Microsoft answers with an error (403), and your
AI is told about it. Reconnecting does not help. Ask a Microsoft 365
  administrator for access.
* **Files of at most 5 MB:** `download_file` refuses larger files, and your AI is
told the file's size. Text files (for example txt, csv, md, json, xml and html)
come back as text. Other files, for example Word, PDF and images, come back
encoded (base64) with their file type.
* **Large lists:** a filter on a column that is not indexed can be refused by
SharePoint on large lists. Your AI then has to page through the list without a
  filter.
* **Answers in pages:** a page is 50 rows by default and at most 500. If there are
more, your AI pages on to the next page.
* **Microsoft's call limit:** Microsoft limits how many calls can be made in a short
time. If a lookup hits the limit, your AI is told to wait a little and ask for
  fewer rows.
* **Explanatory errors, but not always:** for the common errors, the connector gives
your AI an explanation: an access that must be connected again, missing access, a
file or site that does not exist, and a request Microsoft refuses. Other errors,
for example a timeout or an error at Microsoft, only give the general error "Tool
  invocation failed."
* **The access is renewed automatically, but can stop:** if the renewal fails, or
Consile is removed in your Microsoft organization, your AI is told that the
connection must be set up again from the Consile portal. The portal can still show
**Connected**, because the stored access is still there. Only an administrator can
reconnect: if the agreement says **Access revoked**, click **Reconnect**.
Otherwise the administrator chooses **Disconnect** in the menu next to the
agreement and then clicks **Connect**. You can also ask your AI for a new
connection link in the connector that belongs to the agreement (for example
  `sharepoint-2`). See
  [Connect SharePoint](https://docs.consile.ai/en/connect/connect-sharepoint.md#the-access-is-renewed-but-the-connection-can-stop).
