# OneNote

> Read access to Microsoft OneNote for your AI: your own notebooks and the team notebooks on SharePoint sites and in groups, sections, pages as text and search in your own notes. Nine read-only tools.

*[Læs siden på dansk](https://docs.consile.ai/connectors/onenote.md)*

The OneNote connector gives your AI read-only access to Microsoft OneNote. Your AI
can find notebooks, sections and pages, read a page as text, see the most recently
changed pages and search the notes. It reaches both the connected user's own
notebooks and the shared team notebooks on your SharePoint sites and in Microsoft
365 groups. You connect with your Microsoft work account, and your AI never sees the
access itself.

* **Price:** 149 DKK/month excl. VAT (€19/month if you have chosen the EU · EUR
market in the portal). No lock-in, cancel at any time. The price covers 1 user and
1 agreement (one connected Microsoft user). Each extra user and each extra
agreement costs 74.50 DKK/month excl. VAT (€9.50). Also included in
  [the Consile Studio membership](https://docs.consile.ai/en/portal/membership.md) and
  [the free edition](https://docs.consile.ai/en/portal/free-edition.md). See [Pricing](https://docs.consile.ai/en/portal/pricing.md).
* **Users:** whoever buys OneNote automatically gets the included access. If more
colleagues need OneNote in their AI, an administrator gives them access under
**Team** in the portal (choose **All tools** next to OneNote on the person's
page). An extra user is billed pro rata from the day access is given. A colleague
without access can still see the tools in their AI, but every lookup is refused
with a message to ask an administrator for access. If you have
[the Consile Studio membership](https://docs.consile.ai/en/portal/membership.md), an administrator instead
gives one membership licence per person, and it also covers OneNote. See
  [Team](https://docs.consile.ai/en/portal/team.md).
* **Multiple Microsoft users:** the portal calls each connection to the system an
agreement. One agreement is one connected Microsoft user and what that user can
open in OneNote. If your AI should also read another user's own notebooks, or if
you have several Microsoft tenants, an administrator adds another agreement with
**Add agreement** on the **Connections** card on the connector's page in the
portal. Each agreement gets its own address, for example
`https://mcp.consile.ai/onenote-2/mcp`, which you add as a separate connector in
  your AI. Under
  [the Consile Studio membership](https://docs.consile.ai/en/portal/membership.md#one-more-agreement-in-a-system)
and in [the free edition](https://docs.consile.ai/en/portal/free-edition.md), other rules apply to adding an agreement. See
  [Connect OneNote](https://docs.consile.ai/en/connect/connect-onenote.md#multiple-microsoft-users).
* **Endpoint:** `https://mcp.consile.ai/onenote/mcp` (your own named connector in
  your AI).

## What does it require?

* **A Microsoft work or school account.** You log in with an account in your
organization at Microsoft. A personal Microsoft account cannot be used.
* **Access to the notebooks your AI should read.** Your AI only sees the notebooks,
sections and pages that the connected user can open in OneNote.
* **Possibly a Microsoft administrator.** In many organizations, a Microsoft
administrator must approve Consile before a regular user can connect. See
  [Connect OneNote](https://docs.consile.ai/en/connect/connect-onenote.md#if-microsoft-asks-for-administrator-approval).

## Prerequisites

**1. Subscription**

The connector must be bought in the [portal](https://app.consile.ai). See
[Buy a connector](https://docs.consile.ai/en/portal/buy-a-connector.md).

**2. Microsoft approved**

Log in with your Microsoft work account, and approve Consile at Microsoft.
The connection applies to your whole Consile account. See
[Connect OneNote](https://docs.consile.ai/en/connect/connect-onenote.md).

**3. Access for your user**

If there are several users on the account, an administrator must assign you
OneNote under **Team** in the portal. Whoever bought the connector has access
from the start. If you have created your own Consile account, but belong to a
company that already has OneNote, ask your administrator for an invitation to
the team instead of buying again. See [Team](https://docs.consile.ai/en/portal/team.md).

**4. Your AI connected**

Each user adds the connector in their own AI and logs in with their own
Consile login. See [Connect Claude](https://docs.consile.ai/en/connect/connect-claude.md) or
[Connect ChatGPT](https://docs.consile.ai/en/connect/connect-chatgpt.md).

> [!WARNING]
>
> All users with access to OneNote in Consile read through the Microsoft user that
> is connected. This also applies to that user's own notebooks. So connect with a
> user whose notes everyone with access may see, or give access only to the right
> colleagues under **Team**.

## Read-only

When you connect, you approve Microsoft's permissions `Notes.Read.All` (read the
OneNote notebooks the user has access to), `User.Read` (read the user's name and
email) and `offline_access`, which keeps the connection alive. These are pure read
permissions:

* The connector has no write tools. All nine tools can only read.
* Consile only sends read requests to Microsoft.
* Page content is fetched while your AI asks, and is not stored at Consile.

Your AI therefore cannot create, change or delete notebooks, sections or pages.

## Own notebooks and team notebooks

OneNote notes live in three kinds of places: in the user's own notebooks, in
notebooks on a SharePoint site (for example an intranet or a project site) and in
notebooks that belong to a Microsoft 365 group. Unless told otherwise, your AI uses
the user's own notebooks.

This is how your AI finds a team notebook:

* `list_recent_notebooks` shows the notebooks the user opened most recently, both
own and shared, with name and link. It is the fastest way to find, for example,
"the team notebook" by its name.
* To read sections and pages on a site, your AI needs the site's id. The
[SharePoint connector](https://docs.consile.ai/en/connectors/sharepoint.md) can look it up. For a group,
your AI needs the group's id. A team in Microsoft Teams has the same id as its
  group.

Search (`search_pages`) and the list of recently changed pages
(`list_recent_pages`) only work in the user's own notebooks. This is a limitation at
Microsoft. In a team notebook, your AI goes through the sections and their pages
instead.

## What can it do? (tools)

You do not need to know the tool names. You ask in natural language, and your AI
picks the right one itself. The connector provides nine read-only tools. When your
AI calls them, they are called `onenote__<tool>` (for example
`onenote__list_notebooks`).

### Notebooks and sections

| Tool | What it does |
| - | - |
| `list_notebooks` | Notebooks: the user's own, a SharePoint site's or a group's. Shows whether the notebook is the default notebook, whether it is shared, and the user's role |
| `list_recent_notebooks` | The notebooks the user opened most recently, across OneDrive and SharePoint, with link and where they live |
| `list_sections` | The sections in a notebook, or all sections in the user's own notebooks, on a site or in a group |
| `list_section_groups` | The section groups (folders of sections) in a notebook or in another section group |

### Pages

| Tool | What it does |
| - | - |
| `list_pages` | The pages in a section, most recently changed first, with title and when they were created and changed |
| `search_pages` | Full-text search in title and content across the user's own pages |
| `list_recent_pages` | The user's own pages by most recent change across all their own notebooks, optionally only those changed since a given time |
| `get_page` | One page with title, section and notebook and the content as text, or as HTML when tables and layout matter |
| `get_page_preview` | A short preview of a page, so your AI can judge whether the whole page is worth fetching |

## Try asking

> [accordion] Your own notes
>
> > *"Find my meeting notes from last week and list the decisions we made."*
>
> > *"Search my notes for everything about \<company name> and summarize the status."*

> [accordion] Team notebooks
>
> > *"What does the team notebook say under Procedures about onboarding new customers?"*
>
> > *"Which notebooks have I opened recently, and where do they live?"*

> [!TIP]
>
> Mention the name of the notebook or section in your question. If the notes are in
> a team notebook, say so, because search only works in your own notebooks.

## Limitations

* **Read-only:** the connector cannot create, change or delete anything in OneNote.
* **Work accounts only:** personal Microsoft accounts are not supported.
* **Search only in your own notes:** `search_pages` and `list_recent_pages` only
cover the connected user's own notebooks, not notebooks on a site or in a group.
* **The user's access applies:** your AI only sees what the connected user can open
in OneNote. If the user lacks access, or your Microsoft administrator has not
approved the permission, Microsoft answers with an error (403), and your AI is
told about it. Reconnecting does not help. Instead, ask a Microsoft 365
  administrator for access.
* **Images and attachments are not fetched:** the text contains a marker such as
`[billede]` or `[vedhæftet: <file name>]` (the markers are in Danish), so your AI
  knows something was there.
* **Long pages are shortened:** a page as text gives at most 50,000 characters, and
as HTML at most 100,000 characters. If the page is longer, your AI gets the
beginning and is told that the rest is missing. A page with very large content
cannot be fetched and gives the general error "Tool invocation failed."
* **Large lists are split up:** pages come in batches of 20 by default and at most
100\. Your AI can ask for the next batch.
* **Microsoft's call limit:** Microsoft limits how many lookups can be made in a
short time. If a lookup hits the limit, your AI is told to wait a little and ask
  for fewer rows.
* **Explanatory errors, but not always:** for the common errors, the connector
gives your AI an explanation: an access that must be connected again, missing
access, a notebook, section or page that does not exist, and a request that
Microsoft refuses. Other errors, for example a timeout or an error at Microsoft,
only give the general error "Tool invocation failed."
* **The access is renewed automatically, but can stop:** if the renewal fails, or
Consile is removed in your Microsoft organization, your AI is told that the
connection must be set up again from the Consile portal. The portal can still
show **Connected**, because the stored access is still there. Only an
administrator can reconnect: if the agreement says **Access revoked**, click
**Reconnect**. Otherwise the administrator chooses **Disconnect** in the menu
next to the agreement and then clicks **Connect**. You can also ask your AI for a
new connection link in the connector that belongs to the agreement (for example
  `onenote-2`). See
  [Connect OneNote](https://docs.consile.ai/en/connect/connect-onenote.md#the-access-is-renewed-but-the-connection-can-stop).
